5.2 Procedure

5.2.1 Please provide as much information as possible surrounding your complaint detailing the nature of the problem and circumstances surrounding the matter.

5.2.2 When we acknowledge receipt of your complaint within 48 hours of receipt if any further information or evidence is required we will request it at this stage.

5.2.3 Upon receipt of all the required evidence and information we will conduct a thorought and comprehensive investigation into your complaint

5.2.4 We will then revert with our findings. These will contain details of our conclusion, immediate actions to either improve or eliminate the problem, long term to prevent a future occurence and any necessary reimbursement that may be required depending on the problem experienced.

5.2.5 We aim to bring all complaint to a prompt and amicable conclusion within 5 working days. If we anticipate, depending on the nature of the complaint, that it will take longer to resolve than this we will state an estimated time it is likely to take. During this time we will keep you informed as to how your complaint is progressing at each stage.

5.2.6 Not only do we just resolve the issue in hand we operate and rigorous quality improvement plan whereby we audit all our internal procedures, implement corrective actions as a result of external and internal complaints and continue this method of self-assessment to ensure that your satisfaction of our product and services.

5.2.7 Your complaint will be treated in confidence and to benefit all parties concerned handled with impartiality ensuring that any complaint is resolved amicably.
